Let’s embark on the letter.

It is on a Wednesday morning 8.30 am and the business owner also in charge of running the business is still not awake. Confidently confirms that I did a lot of work yesterday and needed some rest. Granted.

Every business that exists today however big, started like hustle. Just a micro business.

In his book, Phil Knight, founder of now worldwide Nike brand, he elaborated how the company run in garage for over five years trying to bootstrap. Jangling employment and business and there is no reason why he didn’t quit business.

In all measures, running business is not a rose in the park.

In this letter we will delve into creating clear picture about;

1. Business as a system of cogs

2. Role of business owner

3. Limiting mentality of business owners

4. Harmony that create leverage and peace in growing the business

It will require someone with consistency of thoughts, consistency of determination, consistency of actions, consistency of self drive, consistency of people skills.

You may never meet anyone on this earth born with all these combinations. These are grown attributes through practice and learning until your natural system start to create its own path towards the same.

Because of how hard it may prove to become such, majority of business owners have found themselves stuck in operating the business by themselves.

What is business operations ?

Any operation is a set of system with inter relating functions.

Business is never different from such. It is a system of interrelated functions.

Business as a system of cogs

Like a machine that drives operations of grinding metals into powder, set on different cogs each accomplishing different role. Like a vehicle engine whose power is maximized on balancing of pressure through different parts and balancing of water and lubrication oil.

When the balancing of cogs in those machines is not optimally aligned, the machine just loose its power and grid into halt within specified time. It starts with slowing, then produce low quality outputs, then halts.

It has no apology but reciprocate exactly how it is set. Very objective and no emotive wishes.

Operations of those cogs are set to create its own monitoring practices, then sends signals of perfomances and incase of any variations it sends an alert.

Ideally the optimal performance is at a point where the system is able to create alerts and auto correct upto a certain extent of variations.

 Business Owners

Like a system of different functioning cogs, the owner is only one of the cogs.

Having gone through pain of bootstrapping a business, many owners find themselves stuck with mentality of ‘’I know it all’’.

Pretending to be masters of all facets of the business.

The owner is the vision carrier. That is undisputable role. Ensuring the vision is not in conflict with other peoples imaginations is the main role of the owner.

Ensuring the vision is amplified and refined as the business progresses is the main role of the owner. This creates harmony of activities inside the business and from everyone being served and serving the business.

Working to ensure that business attracts people who align and buy to the vision is also critical for owner.

This cannot be achieved by a person who doesn’t have harmony of thought process. Ability to create an idea in mind, think about it creatively, seek data to verify, adjust and come into a quality conclusion.

Limiting mentality of business owners 

The irony of starting and running business successfully is that the same person end up creating force that stagnate and prevent it from growing.

The moment the first cash arrives and consecutively sustains at an increasing rate, the feeling that the work of business owner is only to defend that cash over powers and it is turned into cash counting machine.

Cash system

Recently someone was very proud announcing to us that before Covid, his business was able to generate over USD 3M (Equiv Kes 400M) in a year. Him and his team would spend half a day in banking hall counting cash to bank. However, since Covid he doesn’t know what happened.

No more cash to count.

Again business is a system that sends alert warnings when the variations comes up – why would business management stay in banking hall half a day counting cash. Where is that cash coming from. I think it is coming from production – when you leave production only to concentrate on end results, what signal does that start sending.

In their wisdom, owners get stuck there soon the business start making cash and they become permanent figure around the same cash.

The mentality that business cash is the most important element is very limiting. Actually very stagnating. Eventually the business can only drop for unbalanced attention.

The work of business owner is to establish key decision making that is 20% and which drives the other 80% of business performance.

This would include seeking knowledge about the industry you are in, seeking how to empower staff for starlin performances, connecting with community on behalf of business, seeking right professionals to build support system.

Human beings will always be led by ego and pride of being called the owners. Leaders overcome this and allow system to be the founding guide.

Harmony that create leverage and peace in growing the business

Harmony of driving the vehicle is when all gears have been engaged and drivers forgets everything else to concentrate on the steering. The flow is so very seamless until passengers sleeps.

Business is a system. Mark that.

The facets and cogs of business can be summarized as follows;

· Understanding the whole universe of your industry

· Understanding your customers

· Understanding the value proposition that you want to offer

· Designing reliable operational processes that serves your customers

· Managing risks and defining sustainability journey

These are foundational pillar. Not easy to build them at all. May take years. This proves why your job is well cut out to enable the business achieve harmony.

Each of the above element is very crucial and never impossible at all.
